All of the employees in your organisation are talented, otherwise you wouldn’t have hired them. As an employer you need to ensure that you hire the right person for the role and identify the correct skill set needed.

The organisation should aim to nurture and help staff to grow, however sometimes the opportunities for progression that the employee is looking for do not exist within their current organisation, as a result they look elsewhere to progress to the next step of their career.  When this happens an exit interview is a constructive method for learning lessons, both for employer and employee.

An exit interview gives the employer and the exiting employee the opportunity to discuss what has gone well and what could be improved, on both sides.  Both parties will feel in a position to be completely honest as they have nothing to lose and won’t feel that they are rocking the boat.  These discussions may raise certain issues (if there are any) and will give the business an opportunity to address them before the new hire starts. The interview should occur with the aim of improving the organisation and also to give the exiting employee guidance for personal improvement.

However, the focus doesn’t always need to be on the negative.  If the employee has been a great part of the team then this discussion should be used to highlight all the great things they have brought to the organisation and to thank them for what they have done for the company. In return if the employee has had a positive experience then they can share this too.

Some organisations use written exit interviews but many HR employees are proponents of talking with the departing employee to better explore and understand his or her views during the exit interview.

For a constructive interview it is useful to decide which topics you want to discuss prior to the meeting. Using MindGenius you can map out the different topics for discussion and also outline the various steps involved when an employee is leaving the organisation such as; advertising the vacant position, writing a reference and completing relevant paperwork. Using MindGenius will help this transitional process run as smoothly as possible.
